Privacy Policy for Examum – EPSO Prep

Examum – EPSO Prep (“Examum”, “we”, “us”, or “our”) respects your privacy and is committed to protecting your personal data.

This Privacy Policy explains what information may be collected when you use the Examum mobile application and related services, why we collect it, how it is processed, and what rights you may have.

Examum is an independent exam-preparation application. It is not an official application of EPSO, the European Union institutions, or any EU body.

1. About Examum

Examum is a mobile application designed to help users prepare for EPSO-style assessments and related tests.

The application currently provides features including:

  • Numerical Reasoning practice

  • Verbal Reasoning practice

  • Abstract Reasoning practice

  • EU Knowledge practice

  • Digital Skills practice

  • Quick Practice

  • Timed Tests

  • Real Exam Simulation

  • Progress tracking

  • Results and explanations

  • Question reporting

  • Contact and support functionality

Users are not required to create an account or log in to use the application.

2. Information We Collect

We aim to collect only the information reasonably necessary to operate, improve, and support Examum.

2.1 Usage and Analytics Information

Examum uses PostHog for product analytics.

When you use the application, PostHog may receive pseudonymous information about how the application is used, including information such as:

  • application opens

  • onboarding activity

  • practice sessions started or completed

  • categories used

  • questions answered

  • whether an answer was correct or incorrect

  • practice or test completion

  • scores or score percentages

  • timed test activity

  • exam simulation activity

  • use of certain application features

  • question-report activity

  • application and device-related technical information

  • a pseudonymous or automatically generated identifier used to distinguish application installations or users for analytics purposes

We use this information to understand how people use Examum, identify areas that may need improvement, evaluate which features are useful, detect product problems, and improve the overall experience.

We do not use PostHog analytics for targeted advertising.

We do not intentionally send your name, email address, phone number, precise location, contacts, or other directly identifying personal information to PostHog as part of our product analytics events.

Examum currently uses PostHog's US Cloud infrastructure, which means analytics data may be processed or stored in the United States.

3. Contact and Question Reports

Examum provides in-app functionality that allows users to contact us or report a problem with a question.

These forms are processed using Formspree, a third-party form-processing service.

Depending on the form and the information you choose to provide, a submission may include:

  • your message

  • contact information that you voluntarily provide

  • question ID

  • question category

  • selected answer

  • correct answer

  • report reason

  • app version

  • platform or technical information relevant to the report

For example, a question report may indicate that a user believes an answer is incorrect, that two answer options appear too similar, that an image has a problem, or that an explanation is unclear.

We use this information only to:

  • respond to support enquiries

  • investigate reported questions

  • improve question quality

  • correct technical or content problems

  • maintain and improve Examum

You should avoid including sensitive personal information in free-text messages or question reports unless it is genuinely necessary.

Formspree processes form submissions on our behalf. Its own privacy practices are governed by its applicable privacy documentation.

4. Information Stored Locally on Your Device

Examum is primarily a local-first application.

Certain information may be stored locally on your device using application storage technologies such as AsyncStorage. This may include:

  • practice progress

  • completed activities

  • best scores

  • unfinished sessions

  • onboarding completion status

  • preferences

  • review-prompt status

  • other application state required for normal functionality

This information is generally stored locally on your device and is not automatically uploaded to an Examum user account because Examum currently does not provide user accounts.

Removing the application, clearing application data, or changing devices may result in the loss of locally stored progress.

5. Information We Do Not Intentionally Collect

Examum does not currently require or intentionally collect the following for normal application use:

  • account passwords

  • social-media account credentials

  • phone contacts

  • precise GPS location

  • photographs or camera content

  • payment card details

  • advertising identifiers for targeted advertising

  • health information

  • biometric information

Examum does not currently contain advertising and does not currently sell products or subscriptions through the application.

6. How We Use Information

We may use information collected through Examum for the following purposes:

  • to provide and operate the application

  • to understand how users interact with the application

  • to improve usability and user experience

  • to improve practice and exam-simulation features

  • to monitor feature adoption

  • to identify areas where users stop or encounter difficulties

  • to investigate technical problems

  • to improve question quality

  • to process question reports

  • to respond to support enquiries

  • to protect the integrity and reliability of the application

  • to comply with applicable legal obligations

We do not use collected information to build advertising profiles or to sell personal information to advertisers.

7. Legal Basis for Processing

Where the General Data Protection Regulation (“GDPR”) or similar legislation applies, we process personal data only where we have an appropriate legal basis.

Depending on the circumstances, this may include:

Legitimate Interests

We may process limited analytics and technical information where necessary for our legitimate interests in:

  • understanding whether Examum works properly

  • improving application quality

  • understanding feature usage

  • identifying errors or usability problems

  • maintaining the security and reliability of the service

We aim to limit such processing to information that is reasonably necessary for these purposes.

Performance of a Service Requested by You

When you submit a support request or question report, processing may be necessary in order to respond to your request or provide the support functionality you chose to use.

Consent

Where applicable law requires consent for a particular type of processing, we will rely on consent where required.

Legal Obligations

We may process or retain information where necessary to comply with applicable legal requirements.

8. Sharing of Information

We do not sell your personal information.

We do not share personal information with third parties for targeted advertising.

We may disclose or transmit limited information to service providers that help us operate Examum, including:

  • PostHog, for product analytics

  • Formspree, for processing contact and question-report forms

  • hosting, infrastructure, security, or technical service providers where reasonably necessary

These service providers process information in connection with the services they provide to us.

Information may also be disclosed where required by law, legal process, regulation, or a valid request from a competent authority.

9. International Data Transfers

Some service providers used by Examum may process information outside the European Economic Area (“EEA”), including in the United States.

In particular, the PostHog environment currently used by Examum is hosted in the United States.

Where applicable data-protection law requires additional safeguards for international transfers, we will seek to rely on appropriate lawful transfer mechanisms and contractual safeguards.

10. Data Retention

We aim to retain personal data only for as long as reasonably necessary for the purposes described in this Privacy Policy.

Analytics information may be retained according to the settings and retention practices applicable to our PostHog environment.

Support messages and question reports may be retained for as long as reasonably necessary to:

  • respond to the request

  • investigate the reported issue

  • maintain records of corrections or quality concerns

  • protect the application and users

  • meet applicable legal obligations

Locally stored application progress remains on your device until it is removed, cleared, overwritten, or the application is uninstalled.

11. Data Security

We take reasonable technical and organisational measures intended to protect information against unauthorised access, loss, misuse, alteration, or disclosure.

Data transmitted between the application and supported third-party services is transmitted using encrypted network connections where supported by those services.

However, no method of electronic transmission or storage can be guaranteed to be completely secure.

12. Your Privacy Rights

Depending on your location and applicable law, you may have rights regarding your personal data, including the right to:

  • request access to personal data relating to you

  • request correction of inaccurate information

  • request deletion of personal data

  • request restriction of processing

  • object to certain processing

  • request data portability where applicable

  • withdraw consent where processing is based on consent

  • lodge a complaint with a competent data-protection authority

Because Examum does not require user accounts and much of its analytics information is pseudonymous, we may not always be able to identify a particular analytics record as belonging to you without additional information.

13. Deleting Local Application Data

You can remove locally stored Examum data by using the relevant application or device settings, clearing the application's data, or uninstalling the application.

Because Examum currently does not operate user accounts, locally stored progress is generally associated with your installation rather than a cloud-based Examum profile.

14. Children's Privacy

Examum is not specifically directed at children under the age of 13.

We do not knowingly collect personal information from children under 13 through user accounts because Examum does not provide account registration.

15. Advertising and Marketing

Examum currently does not display third-party advertising.

We do not currently use PostHog data for targeted advertising or behavioural advertising.

We do not sell personal information to advertising companies.

16. Payments

Examum currently does not process payments, paid subscriptions, or in-app purchases.

If paid features are introduced in the future, this Privacy Policy will be updated where necessary to explain any additional data processing.

17. Third-Party Services and Links

Examum may interact with or contain links to third-party services.

Third-party services operate under their own terms and privacy policies. We are not responsible for the privacy practices of third-party websites or services that are not controlled by Examum.

Users should review the privacy policies of relevant third parties where appropriate.

18. Google Play

Examum is distributed through Google Play.

Google may independently process information relating to downloads, installation, device compatibility, store usage, crash information, reviews, payments if introduced in the future, or other Google Play services.

Google's processing of such information is governed by Google's own privacy policies and terms.

19. Changes to This Privacy Policy

We may update this Privacy Policy when:

  • Examum's features change

  • new analytics or service providers are introduced

  • payment functionality is introduced

  • legal or regulatory requirements change

  • our data-processing practices change

When we make material changes, we will update the effective date at the top of this Privacy Policy.

We encourage users to review this Privacy Policy periodically.
